The P2P Senior Associate is responsible for the accurate execution and governance of Accounts Payable (AP) accounting activities within the Procure-to-Pay (P2P) scope. This role ensures the integrity of AP-related general ledger account balances, supports timely and compliant period-end close, and drives strong control execution under SOX and other internal control frameworks.
The position has accountability for end-to-end accounting results and reconciliation activities for key AP accounts (including but not limited to AP Trade, AP Manual Adjustments, Non-Product GR/IR, and P-Card suspense/clearing accounts).
Responsibilities include analysis of balance movements, investigation of unreconciling items, preparation and support of journal entries and/or AP adjustments, and delivery of accurate reporting. The role supports reporting, audit readiness, root-cause analysis, issue resolution, and continuous improvement initiatives, partnering closely with markets and cross-functional teams across Finance and Operations.
Main Responsibilities
- Execute day-to-day AP Accounting activities in alignment with US GAAP, statutory requirements (as applicable), company policies, and Finance objectives.
- Support month-end and year-end closing activities for AP modules, ensuring all accounting deliverables are completed accurately and within agreed timelines, including but not limited to AP expense accruals.
- Prepare, review, and post AP balance sheet account write-offs, ensuring accuracy, appropriate approvals, and complete supporting documentation, evidencing executed due diligence.
- Own and perform timely monthly reconciliations for balance sheet accounts within P2P scope, including but not limited to AP Trade, AP Manual Adjustments, Non-Product GR/IR, and P-Card suspense/clearing accounts.
- Ensure balance sheet account reconciliations are completed and submitted accurately and timely into BlackLine.
- Perform trend and flux analysis of AP balance sheet accounts, identifying key drivers of variances and risks; consolidate and present flux analysis across the Americas, translating accounting movements into clear operational/financial explanations for stakeholders.
- Monitor account health indicators (aging, volume, backlog, exceptions) for AP and B2B suspense accounts, escalating risks and proposing corrective actions.
- Investigate and resolve discrepancies and exceptions, including unreconciled/open items; conduct root-cause analysis (e.g., miscoding, duplicate charges, posting timing differences) and implement preventive controls and sustainable fixes.
- Execute due diligence for aged unreconciled items: identify owners, perform outreach/follow-ups, obtain supporting documentation, correct coding, process reclasses/adjustments, and escalate per approval matrix; maintain clear tracking and ownership through closure.
- Assist in the automation and reporting of reconciliations, including dashboards/KPIs (e.g., period-end zero-balance rate, aging reduction, exception rate).
- Ensure strict compliance with internal controls, SOX requirements, and Zoetis policies (e.g., evidence standards, approvals, and retention).
- Support and respond to audit requests (Statutory, US GAAP, SOX, internal audits), providing complete and accurate documentation typically within 1–2 business days; maintain audit-ready documentation for reconciliations and supporting 1099 reporting activities.
- Maintain SOPs and process documentation, ensuring they remain current and updated at least once a year; support P2P reporting needs as requested.
Education
- Bachelor’s degree in accounting, Finance, or related field.
- Preferred: CPA, CMA, or progress toward certification; BlackLine certification or internal training a plus.
Job Experience
- 4–7 years in Accounts Payable, P2P operations, or GL accounting with a strong reconciliation focus.
- Hands-on ownership of complex balance sheet reconciliations (AP Trade, GR/IR, P-Card suspense/clearing) and period-end close.
- Demonstrated SOX/internal controls execution and audit support (external, internal, and SOX).
- Exposure to multinational environments and multi-entity, multi-currency operations.
- Process improvement/automation experience (e.g., BlackLine optimization, ERP matching logic, RPA, workflow tools).
- Cross-functional collaboration with Procurement, T&E, Treasury, Internal Audit, and Business Operations.
- Nice to have: Transition/stabilization in shared services environments; project participation (policy rollout, ERP/P-Card platform deployments).
Professional Knowledge
- Strong AP and accounting fundamentals.
- US GAAP fundamentals relevant to AP, accruals, GR/IR, clearing/suspense, and period-end close.
- Reconciliation best practices: matching hierarchies, aging thresholds, certification cadence, documentation standards.
- SOX/internal control frameworks: design vs. operating effectiveness, evidence retention, remediation protocols.
- 1099 reporting basics and AP tax considerations (as applicable to the role scope).
- Regional statutory/tax nuances for AP if supporting multiple countries (e.g., VAT handling, localization).
- Company policies for AP, P-Cards, T&E, and write-off approval limits.
Skills/Abilities
Technical accounting and reconciliation:
- Strong GL/accounting skills under US GAAP; precise JE preparation and documentation.
- Advanced reconciliation skills including suspense clearing, exception research, flux analysis, and aging remediation.
- P-Card due diligence: owner identification, outreach cadence, documentation retrieval, coding corrections, and escalation.
Systems and analytics:
- ERP proficiency (e.g., SAP S/4HANA or ECC, Oracle, MS Dynamics).
- BlackLine (or equivalent) for reconciliations and certification workflows.
- P-Card/T&E platforms (e.g., Concur, CAR, Amex programs).
- Advanced Excel (lookups, pivots, Power Query); data analysis and reconciliation at scale; basic Power BI/Tableau a plus.
Controls and compliance:
- SOX control execution, evidence standards, and audit trail discipline.
- Policy adherence and exception management for T&E, B2B and AP processes.
- Understanding of approval matrices, segregation of duties, and write-off governance.
Communication and stakeholder management:
- Clear written documentation; crisp variance commentary and executive-ready summaries.
- Confident follow-up with cardholders/managers; ability to influence and enforce policy with tact.
- Organized tracking and closure of open items; strong prioritization and time management.
Continuous improvement:
- Root-cause analysis and sustainable fixes (SOP updates, training, system rules).
- Aptitude for automation and data quality improvements; comfort with change.
