OVERVIEW
 

We're seeking an Executive Assistant to join our partner's team in San Jose, Costa Rica. We are seeking a highly organized and proactive individual to support multiple VP-level executives in a dynamic, fast-paced environment. The ideal candidate will have anticipating executive needs and delivering seamless support.

This is a contract position with possible permanent placement.

This is a Hybrid Role with 2-3 days a week in the office in the American Free Zone in Heredia.

 

 
RESPONSIBILITIES
  • Manage complex calendars, schedule meetings, coordinate events, and handle day-to-day administrative tasks for multiple executives.

  • Coordinate domestic and international travel, including itineraries and expense reporting (Concur experience preferred).

  • Serve as a key point of contact—managing communications, connecting dots across teams, and ensuring nothing falls through the cracks.

  • Juggle multiple priorities with ease, shifting gears as needed in response to evolving priorities and fast-paced demands.

  • Drive schedules and agendas while understanding broader business context and goals.

  • Support high-priority projects across teams and leadership levels, ensuring follow-through and completion.

  • Take initiative on special assignments and demonstrate a desire to grow beyond core responsibilities.

 
QUALIFICATIONS
 
  • 5+ years of experience in similar environment
  • Exceptional organizational and multitasking skills, with the ability to manage multiple calendars and stakeholders.
  • Outstanding written and verbal communication abilities.
  • High level of professionalism, confidentiality, and sound judgment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Docs, Zoom, and Concur.
  • Strong interpersonal skills and a collaborative, team-oriented mindset
