Job Description

We are seeking a detail-oriented Document Services Coordinator to support the production and formatting needs of a fast paced creative and marketing environment. This role is heavily focused on the formatting, organization, and visual consistency of client facing and internal documents across Microsoft Office and Adobe Creative Suite applications. 
 

The ideal candidate has a strong eye for layout and design, understands the importance of brand consistency, and is highly organized when managing multiple formatting tasks and deadlines. This is a production focused role that works closely with senior members of the design team to ensure all materials are professionally formatted, visually polished, and aligned with established templates and brand standards. 

 
Key Responsibilities 

  • Format and update documents in Microsoft Word, PowerPoint, and Excel while maintaining brand consistency and template integrity 

  • Assist with production and layout tasks in Adobe InDesign and other Adobe Creative Suite applications 

  • Ensure proper use of fonts, paragraph styles, spacing, logos, imagery, and formatting standards across all materials 

  • Prepare polished presentations, proposals, reports, spreadsheets, and marketing collateral for internal and external distribution 

  • Review documents for formatting accuracy, visual consistency, and overall quality control 

  • Work from existing templates and style guides to produce clean and professional deliverables 

  • Collaborate with senior designers and marketing team members on production related tasks and deadlines 

  • Manage multiple projects simultaneously in a deadline driven environment 

  • Organize and maintain document files, templates, and version control 

 

Qualifications 

  • Proficiency in Microsoft Office applications, particularly: 

  • Microsoft Word 

  • PowerPoint 

  • Excel 

  • Working knowledge of Adobe Creative Suite, particularly: 

  • Adobe InDesign 

  • Photoshop and Illustrator experience is a plus 

  • Strong attention to detail and organizational skills 

  • Good understanding of typography, layout, spacing, and visual hierarchy 

  • Ability to follow brand guidelines and formatting standards consistently 

  • Comfortable working in a fast-paced production environment with shifting priorities 

  • Strong communication and collaboration skills 

  • Ability to take direction and implement feedback efficiently 

 

Preferred Experience 

  • 1 to 3 years of experience in document production, marketing support, graphic production, administrative design support, or a related field 

  • Experience supporting corporate, legal, consulting, marketing, or professional services environments is a plus 

  • Familiarity with template driven production workflows and branded materials 

  • Prior experience working with a project management system is a plus
